bespoke software for UK small and medium businesses.

exempli designs and builds bespoke software for UK small and medium businesses: internal tools, client portals, integrations and automations shaped around the way your team already works.
Bespoke software, often called custom software, is software written for one business rather than sold to thousands. Instead of bending your process to fit a product, the product is built to fit your process, and you own it outright when it's finished.
We're Exempli Labs Ltd, a founder-led studio based in Buckinghamshire, working with teams of roughly 5 to 250 people across the UK. You deal directly with the two people who design, write and run your software, not an account manager.
When bespoke software beats off-the-shelf
Off-the-shelf tools are the right answer more often than most agencies will admit. They're quick to start, someone else maintains them, and for common jobs they're hard to beat. Bespoke software starts to make sense when the gaps between those tools cost you more than the tools themselves:
- your team spends hours every week copying data between systems that don't talk to each other
- a spreadsheet has quietly become the system the business actually runs on
- you pay for several subscriptions that each do part of the job
- the process that makes you different is the one no product supports
- you've outgrown a tool, and the next tier costs more than it's worth
If none of that sounds familiar, a well-chosen product is probably the cheaper option, and we'll tell you so on the first call.
What we build
Most projects combine a few of these. What they share is that each one removes a manual step your team repeats every day, rather than adding another app to manage.
- Internal tools. Dashboards, admin panels and back-office apps that replace the spreadsheet and the inbox as the place where work happens.
- Client portals. Secure places for your customers to check progress, upload documents, book, approve or pay, without another email thread.
- Bespoke CRM and job management. Built around your pipeline, your jobs and your language, not a generic sales funnel.
- Systems integration. Connecting what you already rely on, such as Xero, Microsoft 365, Sage, HubSpot or a supplier's API, so data is entered once and stays in sync.
- Workflow automation and AI. Removing the steps between systems, and using AI where it earns its place: reading documents, drafting replies, sorting requests.
If AI is the main thing you want to explore, our AI consultancy for small businesses explains how we approach it, from a first review to agents running in production.
How a bespoke software project runs
Every project follows the same five steps, set out in full on our process page. The weeks below are typical for a focused first version; larger systems are delivered as a series of these cycles.
- Discover, week 1. We sit with your team and watch the work move, logging every export, re-type and chase.
- Architect, week 2. One system designed around how you run, written up as a build spec with a fixed quote before anything is built.
- Build, weeks 3 to 6. Working software in weekly drops: versioned, tested and documented from the first commit.
- Execute, weeks 6 to 8. Rollout in slices, with onboarding and training, so the team actually adopts it.
- Tune, ongoing. Monitoring and small improvements as your business changes, so the software keeps up.
The execute step is where most software projects quietly fail. One of our founders spent years as an operations director bringing new systems into a large business, so getting people to actually use the thing is treated as part of the job, not an afterthought.
What bespoke software costs, and how we price it
We don't publish a price list, because the honest answer depends on what the software has to do. What we can tell you is exactly how pricing works with us:
- A fixed quote before the build. Discovery and architecture produce a written spec and a fixed price, so you know the cost before you commit.
- Phased delivery. The first version tackles the most expensive problem. Later phases are scoped and priced separately, and only if the first one earns its keep.
- What drives the cost. The number of user types, the integrations, how much existing data has to move, security requirements, and how polished the interface needs to be.
- Running costs. Hosting on Microsoft Azure is usually modest at small-business scale, and we estimate it in the spec.
When you compare bespoke with off-the-shelf, compare the total over three to five years: per-seat subscriptions, the workarounds around them, and the hours your team spends filling the gaps by hand.
You own the code, and your data stays protected
Everything we build for you is yours: source code, infrastructure configuration and documentation, with full IP assignment on delivery. We use standard, well-documented technology so any competent team could take it over. Leaving us costs you a handshake, not a migration.
Your data is handled under UK GDPR, hosted in Microsoft Azure's UK South region by default, and never used to train AI models. Most engagements start with an NDA. The full detail, including our sub-processors and incident response times, is on our security page.
When not to build bespoke software
We would rather lose a project than build the wrong thing. Hold off on bespoke software if any of these are true:
- an existing product already covers most of the job, and the gap is a workaround you can live with
- the process is still changing week to week; settle it first, then build around it
- nobody in the business will own the tool once it's live
- what you need is a one-off report, where a spreadsheet may genuinely be the right tool
A short call is usually enough to tell which side of that line you're on.
Working with UK businesses, locally and remotely
We work with small and medium businesses across the UK, remotely by default and on site when it helps. If you're nearby, we can come to you: see bespoke software and AI in Buckinghamshire. You can also read more about the two founders you'd be working with.
Bespoke software: common questions
How much does bespoke software cost in the UK?
It depends on what the software needs to do, how many systems it connects to and how much data has to move. Rather than guess, we run a short discovery and architecture stage and then give you a fixed quote for the build, so the price is known before you commit.
Is bespoke software worth it for a small business?
It is when manual work, duplicated data entry or stacked subscriptions are costing you more than a focused tool would. For common jobs that a product already handles well, it usually isn't, and we'll say so.
How long does it take to build custom software?
A focused first version typically takes around eight weeks from the first conversation to rollout: a week of discovery, a week of design, about four weeks of building in weekly drops, then a managed rollout. Larger systems are delivered in phases.
What is the difference between bespoke and off-the-shelf software?
Off-the-shelf software is built for the average customer and you adapt to it. Bespoke software is built around how your business works, does only what you need, and belongs to you.
Who owns the code?
You do. Source code, infrastructure configuration and documentation are assigned to you in full on delivery, in plain contract language. There's no licence fee to keep using your own software.
Can bespoke software integrate with Xero, Microsoft 365 or Sage?
Usually, yes. Most business systems offer an API, and connecting them so data is entered once is one of the most common reasons clients come to us. We confirm what each system allows during discovery.
What happens after launch?
We stay on. The tune stage covers monitoring, fixes and small improvements as your business changes, and we maintain what we build rather than handing it over and disappearing.
Can you replace our spreadsheets?
Often, yes. A spreadsheet that has become the system of record is one of the clearest signs a small business is ready for a bespoke tool, and we can import what's already in it.
